How to protect a deposit on our platform

How to protect a deposit

1. From the homepage of the dashboard, select ‘Properties’

2. Click the blue 'Add property' button at the top and choose ‘Private’ or ‘Company’ landlord and enter the relevant details

Top tip: If there are multiple landlords for this property you can add another landlord by selecting the ‘Add joint landlord’ button

3. Now, you can add the property details. When you start to type the address our smart finder will provide suggestions

Please note: The property name is mandatory and can be the first line of the address

4. Then you will need to add the landlord's correspondence address

Remember: Once you have added the landlord and property details you must then add the tenancy to protect the deposit

5. Click the 'Add property' button at the bottom and your landlord will be invited to create their account

6. Now, select 'Add tenancy' at the top right hand corner

7. Enter the tenancy details including tenancy name (optional), rent amount and tenancy start date, then click ‘Next’. The deposit amount will be automatically calculated in line with five/six weeks rental cap in England. You can customise this amount by clicking ‘Set customer deposit’ (in blue)

8. Enter the tenant details (name, email and mobile number) and click ‘Next’

9. You can add any interested parties and their details, if needed, or you can skip this step

10. Review all information on the confirmation page to check it is correct and select ‘Add tenancy and protect deposit’

Please note: An interested party is someone that has paid the deposit on behalf of one of the tenants

11. Now you'll need to add deposit information and select which scheme you wish to use

12. Select the date the deposit was paid and click ‘Save’

13. Check the details are all listed correct, and then click ‘Protect’ on the right hand side

How to edit a protection

There are a few different options to view the protection on the platform. You can do this by:

selecting 'Properties' on the left hand side and search for the protection by the property name, address or the landlord name
clicking 'Tenancies' and searching the tenancy address, landlord or deposit protection amount
choosing 'Deposits' and search using the deposit ID, property address, landlord or the protected amount

Top tip: You can also search for the protection using the tenancy start date

How to update property details

Under the ‘Property’ tab you can click the pen icon to edit the house name or address
Once updated select 'Save'

How to add a joint landlord

You can also add a joint landlord by entering their details
Click the blue 'Save' button

Top tip: By entering the rent amount, the platform will automatically work out the deposit amount for you using the five/six week deposit cap. To lower the deposit amount, you will need to contact us

Please note: If you amend the property address it will change the address across all tenancies registered under that property record

How to check out using a basket

At the end of each protection you can add them to your basket and check them all out at the same time.

Top tip: You can check out each deposit separately by ticking the relevant box or check out all deposits at the same time by selecting all

Checking out

Once you have selected which deposits you want to protect, click ‘Go to checkout’
Press ‘Protect’ on the right hand side
The deposit has now successfully been protected

How to access your basket

Select the basket icon at the top, to see all the items in your basket. Make sure you select the correct scheme you wish to access.

You can also access your basket by selecting 'Deposits' in the left hand menu and going to the ‘Basket’ tab.

How to bulk upload

1. Select 'Tenancies' from the menu on the left hand side

2. Click on the ‘Tenancies’ tab at the top and select 'Bulk upload'

3. Start a new import

4. Choose which office this upload relates to by selecting the relevant branch and click 'Next'

Please note: If you do not have the CSV template, you can download one in the platform

5. Attach the completed template to the platform, select 'Start import' and this will be uploaded to the platform

Please note: We do require evidence of the new protection which you can attach here

How to search deposits

There are different ways to search for a deposit on the platform.

Select 'Properties' from the menu on the left side and search the property name, address or lead landlord name
Choose 'Deposits' from the menu on the left and search using the deposit ID, property address, lead landlord name or protected amount
Select ‘Tenancies' from the menu on the left and search by tenancy address, lead landlord name, or lead tenant's name

How to end a protection

To end a protected deposit, because you are now protecting under our Custodial scheme or you have transferred to another provider, click 'Deposits' and select the EWI reference number for the deposit
Click the button ‘End protection’
Once uploaded, press ‘End protection’

This will now be sent to our internal team for review
